Challenges

When this national healthcare provider approached Extranet Systems, every handoff between their systems was manual and every reconciliation was a workaround. Client data lived in their CRM, invoicing happened in their finance app, clinical measurements sat across 33 standalone databases, and government claims went through a closed portal with no API.

Nothing talked to anything else. Staff bridged the gaps between systems by hand, every day, across every site. The operational cost of disconnection was compounding across the entire organisation. The risks were clear:

Our first priority was mapping every system in the organisation and every manual process that existed to bridge the gaps between them. Before we built anything, we needed to understand exactly what was talking to what, what was not, and what the real operational cost of each disconnection was.

What became clear was that the answer was not to replace every system. It was to build a unified platform with purpose-built integrations that made every existing system work together in real time. A modular architecture designed to add new connectors without rebuilding the core. Every integration audited, bi-directional, and built to replace a manual process that should never have existed in the first place.

Strategy and Execution

We worked in focused phases with clear deliverables at each stage. Clinical staff could see real working software from the earliest weeks. Nothing was automated without a mapped clinical or operational requirement behind it.

Phase 1 — Integration architecture and legacy system mapping

We audited every system across the organisation, documented every data flow and every manual handoff, and designed a modular integration architecture that could connect the full operational stack without requiring any system to be replaced before it was ready.

Phase 2 — Core integrations and database consolidation

Bi-directional CRM sync was built to keep client records and call outcomes consistent across sales and clinical teams. The finance app was integrated for seamless invoice generation and payment workflows. All 33 standalone clinical databases were consolidated into a single cloud-hosted, region-segregated source of truth with full audit capability.

Phase 3 — Extended integrations and government portal connectivity

Address validation, document storage, and AI services were integrated through the modular architecture. Government claims processing was connected to the closed portal, removing the final manual handoff from the operational workflow and completing the fully integrated environment.
